Job Description – Project Coordinator/Project Manager

Job Summary

This position involves managing multiple projects simultaneously across various stages, including concept creation, design, wayfinding, estimation, processing, manufacturing, and installation. The role requires close collaboration with sales personnel and customers, such as general contractors, designers, architectural firms, sign consultants, and other sign manufacturers. Additionally, the candidate will support and work with Sales Support, Sales, and Manufacturing/Operations teams, sometimes overseeing the direct flow of work as needed. The position requires representing the customer through professional, timely verbal and electronic communication.

Core responsibilities of the Project Coordinator/ Project Manager in Cebu:

  • Review contracts and bids to define job requirements, ensuring the Scope of Work is clear and that all necessary paperwork is completed.
  • Facilitate quoting and signage production, driving both the client and internal teams to meet production and installation timelines.
  • Coordinate sign packages across Design, Wayfinding, Purchasing, Production, Finance, and Third-Party Vendors throughout the project.
  • Follow up with project stakeholders as needed to ensure timely project progression.
  • Maintain clear communication with the client to manage expectations and provide visibility throughout the project.
  • Ensure art drawings align with customer specifications and ensure all necessary paperwork is completed and authorized.
  • Assist in Brand Management of Sign Package Specifications as assigned.
  • Identify, research, and resolve customer complaints and issues, escalating when necessary.
  • Gain in-depth knowledge of customer websites and products to provide better support.
  • Demonstrate strong organizational skills with attention to detail and the ability to handle multiple tasks simultaneously.
  • Maintain confidentiality of client, customer, and employee information at all times.
  • Streamline processes and procedures to improve workflow efficiency.
  • File project-related emails in designated Project Correspondence folders to enhance customer experience.
  • Respond with urgency and passion to customer needs and requests received via phone or email.
  • Confirm production lead times with Purchasing and Manufacturing and ensure clients are informed.
  • Collaborate with the team to ensure equitable project distribution where applicable as a project coordinator.
  • Provide responses to client inquiries by partnering with other departments when necessary.
  • Serve as a single point of contact for customer service support throughout the project.
  • Provide phone support to clients when required.
  • Record new projects in job management software (Hubspot/Endeavor) to track progress and ensure projects move forward.
  • Log time accurately using the company-provided system to track labor costs for each project.
  • Assist with AR/AP Reporting oversight on accounts lacking a VP of Business Development or Account Director.
  • Communicate professionally via email and phone, using tools like Grammarly to ensure proper tone and grammar.
  • Perform additional tasks as assigned by management. Adhere to all customer policies and procedures in day-to-day operations

  • At least 1 year of relevant experience in project coordination or client-facing roles
  • Experience in managing project timelines and communicating with multiple stakeholders

  • Strong organizational skills and attention to detail to manage multiple tasks efficiently
  • Excellent verbal and written communication skills, with a professional email etiquette
  • Ability to review and manage contracts, bids, and client requirements
  • Familiarity with project management tools and CRM software (e.g., HubSpot) is a plus.
