Payroll Executive – International Operations (WFO, Kolkata)

Job Summary
The Payroll Executive is responsible for end-to-end payroll processing for international operations, ensuring accurate, timely, and compliant payroll delivery in line with applicable federal, state, local, and regional regulations. The role requires strong payroll compliance knowledge, hands-on system experience, and close coordination with HR, Finance, and external vendors to maintain payroll accuracy and statutory adherence across regions.
Key Responsibilities
Payroll Processing
- Manage full-cycle payroll processing (weekly and bi-weekly) for salaried and hourly employees
- Ensure accurate calculation of wages, overtime, bonuses, commissions, and retroactive payments
- Validate payroll inputs, including new hires, terminations, promotions, and compensation changes
- Process off-cycle payrolls, adjustments, and corrections as required
Compliance & Statutory Requirements
- Ensure compliance with applicable international payroll laws, including federal, state, and local regulations where relevant
- Manage payroll tax filings and statutory submissions across regions, including multi-state payroll requirements
- Handle year-end payroll activities including W-2, W-3, 1099 processing, and other statutory forms
- Stay updated on regulatory changes impacting international payroll operations and tax compliance
Time & Attendance Management
- Review and reconcile employee time and attendance records
- Coordinate with managers to resolve discrepancies in time reporting
- Ensure accurate application of PTO, sick leave, FMLA, and other statutory or company-defined leave policies
Deductions & Benefits
- Administer payroll-related deductions, including health insurance, retirement plans, 401(k), garnishments, and voluntary deductions
- Ensure accurate setup, maintenance, and reconciliation of benefit plans within payroll systems
- Coordinate with HR teams for enrollments, changes, and employee exits
Reporting & Reconciliation
- Prepare payroll reports for management, finance, audits, and statutory review
- Reconcile payroll registers, tax filings, statutory reports, and general ledger entries
- Support internal and external audits by providing accurate payroll documentation and analysis
Systems & Tools
- Maintain and update payroll systems and employee payroll records
- Work with international payroll platforms such as ADP, Ceridian, or similar systems
- Support payroll system upgrades, testing, and continuous process improvement initiatives
Employee Support
- Address employee payroll queries related to pay, taxes, deductions, and benefits
- Resolve payroll discrepancies in a timely, confidential, and professional manner
- Provide guidance to employees on payroll policies, procedures, and timelines
Job Requirements:
Education
- Graduation from a recognized institution
Experience
- 1–5 years of experience in international payroll processing
- Exposure to multi-state and multi-region payroll operations preferred
- Experience handling large employee populations is an advantage
Skills & Competencies
- Strong working knowledge of international payroll regulations and tax frameworks
- Hands-on experience with payroll systems such as ADP, Ceridian, or similar platforms
- Proficiency in MS Excel (VLOOKUP, Pivot Tables preferred)
- Close attention to detail, accuracy, and data integrity
- Strong analytical, organizational, and time-management skills
- Ability to manage confidential payroll data with discretion
- Clear communication skills and effective cross-functional coordination
