About the Role

As an Executive in the Shared Services Domestic team, you will support multiple client accounts by managing time sheets, payroll coordination, invoice entry, reconciliations, job costing updates, and administrative reporting. This position requires precision, confidentiality, strong communication, and the ability to manage recurring weekly, biweekly, and monthly tasks across different workflows. You will have access to Jobber, QuickBooks Online (QBO), TSheets, Google Drive, and standard office tools to complete all assignments.

Key Responsibilities

  1. Recruitment & Onboarding (Internal Shared Services Tasks)
    • Manage end-to-end recruitment coordination, including job posting, screening, scheduling, and joining formalities.
    • Verify references, support background checks, and facilitate induction programs.

  2. Employee Relations & Engagement
    • Address employee concerns professionally.
    • Support communication between management and employees.
    • Assist with engagement activities and workplace issue resolution.

  3. HR Operations & Payroll
    • Maintain HRMS data, leaves, and attendance.
    • Assist with payroll processing, benefits administration, PF, gratuity, and compliance updates.

Account-Specific Back-Office Responsibilities

Below are mandatory recurring tasks that must be executed for the assigned accounts:

Account A — Time Sheet & Payroll Processing
  • Download and process time sheets weekly via TSheets.
  • Validate time flow per job and employee.
  • Allocate hours, overtime, and summarize these attributes weekly.
  • Send for approval, revise as instructed, and post payroll biweekly via QBO.
  • Save pay stubs with matching time sheets in Google Drive.
  • Enter supplier invoices daily (volume varies).
  • Reconcile monthly statements: bank, credit card, suppliers (10–15 per month).
  • Maintain a running Excel sheet for hours and material costs, updating weekly/daily.
  • Provide reports as required and process employee expenses.
Account B — Time Sheet, Payroll & Expense Entries
  • Execute the weekly payroll and time-sheet workflow (current headcount varies).
  • Enter invoices daily and record card expenses as provided.
  • Perform bank, credit card, and supplier reconciliations monthly.
  • Maintain weekly job costing sheets and provide reports.
  • Process employee expenses and maintain documentation.
Account C — Weekly & Biweekly Payroll, Job Costing & Invoicing
  • Process time sheets weekly for the assigned headcount.
  • Allocate straight time, overtime, and double time as applicable.
  • Prepare biweekly job-wise hour allocations from TSheets.
  • Generate intercompany invoices biweekly (volume and frequency as assigned).
  • Maintain on-call schedules and prepare monthly vehicle-usage billing reports.
  • Upload supplier invoices and reconcile accounts; provide reports and administrative support.
Account D — Payroll Posting & Invoice Entry
  • Post payroll biweekly for salary employees.
  • Enter supplier invoices and credit card expenses into QBO from Jobber (high-volume entries).
  • Track missing expenses and request uploads.
  • Reconcile supplier statements, bank, and credit card statements monthly.
  • Apply payments to supplier invoices and customer receipts.
  • Provide SOAs and support other administrative tasks as required.

Job Requirements:

Qualifications & Requirements

Education: Graduation (mandatory)
Experience: Prior admin, payroll, finance, HR, or back-office experience is an advantage.
