Job Description – Admin and Facilities Specialist
Key Responsibilities of the Admin and Facilities Specialist role in Manila:
- Provide comprehensive administrative support to both staff and management.
- Manage calendars, schedule meetings, and coordinate room bookings efficiently.
- Maintain and organize office records, files, and key documentation.
- Coordinate travel arrangements, including accommodations and expense reporting.
- Handle incoming and outgoing correspondence and packages.
- Oversee the maintenance and upkeep of office premises, equipment, and utilities.
- Liaise with service providers, contractors, and landlords for office repairs and improvements.
- Ensure compliance with health, safety, and building regulations at all times.
- Manage office access control systems and enforce security procedures.
- Coordinate workspace allocation and support office moves or reconfigurations.
- Monitor and maintain inventory levels of office supplies; initiate reorders as needed.
- Negotiate with vendors and service providers for supply needs and maintenance contracts.
- Manage procurement processes for office equipment, furniture, and materials.
- Assist in the preparation of budgets related to facilities and administrative functions; track expenses and submit regular reports to finance or management.
- Act as the primary point of contact for employee facility-related queries.
- Support onboarding of new hires by arranging workstations, access cards, and orientation materials.
Job Requirements – Admin and Facilities Specialist
Qualifications and requirements for the Admin and Facilities Specialist to thrive in the role in Manila:
- Must have prior experience in a BPO setting as an Admin & Facilities as Support/Assistant/Specialist or in a similar capacity.
- Minimum of 2 years of relevant experience in administrative support or facilities management.
- Proficient in MS Office Suite (Word, Excel, Outlook, etc.).
- Strong interpersonal skills and effective written communication.
- Demonstrated ability to multitask and prioritize work in a dynamic environment.
- Excellent problem-solving skills and a proactive mindset.
- Willing to work on-site with flexibility for shifting schedules.
- Must be available to start immediately.
