Admin and Facilities Manager – Manila, Philippines

We are seeking a highly organized and proactive Admin and Facilities Manager to join our team in Pasig City, Metro Manila. This administrative role will require you to manage a variety of tasks, including administrative, compliance, and facilities responsibilities, ensuring that operations run smoothly, particularly during US business hours. As the Admin and Facilities Manager, you will play a key role in overseeing daily activities related to the administration, facility management, healthcare services, and travel logistics for the team. You will also ensure that our facilities are compliant with all relevant regulations and standards.

Job Description – Admin and Facilities Manager

Key Responsibilities:

  • Ensures that the physical integrity of the site/s should always be in its best state for presentation. The position will also require the individual to monitor, identify, and propose replenishment of supplies vital to the operations of the entire site/s. This position will also require the individual to standardize all branding images for all Philippine operations sites, in coordination with other support departments, for the design and layout of these materials.
  • Facility maintenance: Upkeep and maintenance of all offices, encompassing both direct staff and management of contract companies.  Cleaning, fixtures, stocking of supplies, furniture repair, and general upkeep
  • Will interact very closely with accounting (specifically purchasing) to manage a budget regarding office supplies, marketing collateral, facilities equipment, office celebration, and incentive events, etc.
  • Will serve as the primary liaison with corporate marketing to ensure that all facilities are consistently branded within corporate guidelines.  Will source external vendors to develop signage and other marketing collateral, both for general corporate branding and initiative-specific branding.
  • To plan, organize, control, and direct the various facilities maintenance, company properties, and assets security and procurement activities of the company, including purchasing, inspection, deliveries, storekeeping, property control, and building maintenance, to ensure the timely provision of necessary administrative and general services support to the company.
  • Procurement & Vendor Management:  multiple quotes, price negotiations, PO issuance, tracking delivery of supplies, overseeing vendor invoice and payment process, etc.
  • Security Personnel Management: Scheduling, attendance, and other related tasks.
  • Compliance: Implement processes to ensure and enforce compliance with company/HR policies (e.g., security team procedures on cell phone policy, admin team procedures on paper-free policy on operations floor, etc.)
  • Performs other duties assigned.

Job Requirements – Admin and Facilities Manager

Qualification, Skills, and Experience:

  • 3–5 years of experience in administrative management.
  • Strong knowledge and hands-on experience with:
    • PEZA compliance and documentation
    • Business permits and renewals
    • OSH (Occupational Safety and Health) compliance
    • DENR (Department of Environment and Natural Resources) requirements
  • Excellent organizational and coordination skills.
  • Proactive, detail-oriented, and capable of managing multiple priorities.

Additional Requirements:

  • Travel Desk for the Philippines:
    • Capable of managing end-to-end travel logistics, including flight bookings, hotel accommodations, and transportation arrangements for visiting employees and guests.
  • Clinic and Nurse Services Management:
    • Ability to oversee healthcare operations as they transition from HR to Admin and Facilities.
    • Able to manage the day-to-day functions of the on-site clinics and coordinate with external healthcare providers.
